Typical use case

A supervisor snaps a photo of a missing edge protection on a mobile scaffold. The system auto-classifies it as 'Working at Height — Guardrail', assigns to the responsible subcontractor, and closes the loop once a re-inspection photo is uploaded.

Inspection and incident evidence to retain

  • Completed inspection records with inspector identity, date, location and the checklist revision used.
  • Photographic evidence of each finding, plus the re-inspection photo that closed it.
  • Corrective actions with a named owner, a due date and the actual closure date.
  • Escalation records for overdue or repeat findings, showing who was notified.
  • Incident notification evidence where the event met an authority reporting threshold.
  • Investigation report with root-cause method used, contributing factors and lessons issued.
  • Evidence that lessons were communicated — TBT records or acknowledgements, not just an issued document.
  • Trend review showing repeat findings by contractor, area or activity were acted on.

Retention periods and acceptable formats vary by authority, client and contract — confirm yours before relying on this list.

Frequently asked questions

Does the inspection app work without a signal?
Yes. Inspections, photos and near-miss reports are captured offline and sync when the device reconnects, with the original capture time preserved so the record reflects when the observation was made.
Can we use our own checklists?
Yes. Checklists are configurable, and each completed inspection stores the checklist revision it used, so a later template change never rewrites historic records.
How are incidents escalated to the right people?
Severity and category drive the notification rules, so a high-potential near miss reaches the HSE manager and project director immediately rather than waiting for a weekly report. Authority notification remains a human decision — the system prompts and records it.
What reporting thresholds apply in the UAE?
Thresholds depend on the emirate, the authority with jurisdiction and your client's contract, and they change. Configure them per project from the current authority guidance rather than assuming a single national rule.
